Last Updated: October 2026 | Effective Version: 2.0

1. Information We Collect

To provide community management, gate security, and accounting features, Proprly collects necessary operational data provided by society administrators and residents. This includes names, mobile numbers, email addresses, flat/unit numbers, vehicle registration details, and visitor gate logs.

2. Data Protection Consent

By registering on Proprly or submitting your information for gate check-ins and society billing, you explicitly consent to the collection, processing, and storage of your personal data by your housing society administration and our platform for operational, security, and statutory compliance purposes under applicable data protection laws.

3. How We Use Your Information

The data collected is used strictly for core platform functionalities, including:

  • Authenticating user access and securing multi-tenant accounts.
  • Managing gate entries, visitor verification, and pre-approved guest passes.
  • Generating maintenance invoices, payment ledger tracking, and petty cash logs.
  • Dispatching critical community announcements, helpdesk updates, and push notifications.
4. Data Sharing & Security

We do not sell, rent, or trade your personal information to third parties. Data access within a society is strictly restricted to authorized society administrators, designated security personnel, and the respective flat resident. All information is secured using industry-standard encryption, secure session handling, and isolated database schemas.

5. Data Retention Policy

We retain your personal data only for as long as necessary to fulfill operational and legal requirements:

  • Gate Visitor & Staff Logs: Retained for a rolling period of 12 months for community security audits, after which logs are securely scrubbed.
  • Financial & Accounting Ledger Records: Retained for a minimum of 8 financial years to comply with statutory tax, audit, and Income-Tax Act requirements.
  • User Account Profiles: Retained while your residency or administrative role within the society is active.
6. Data Deletion & Right to be Forgotten

Residents and users have the right to request the deletion or anonymization of their personal data. Upon vacating a flat or terminating your account, you may submit a data erasure request through your Society Administrator. Financial ledger entries and statutory audit trails cannot be immediately deleted due to mandatory legal retention laws, but your personal identifiers and contact numbers will be disassociated and anonymized.

7. Contact Us & Grievance Redressal

If you have any questions, concerns, or requests regarding your personal data privacy, consent withdrawal, or deletion rights, please contact our privacy team.
